Terms and Conditions

These Terms & Conditions apply to all in-person courses and training services purchased through IMAJ Aesthetics Academy. By placing a booking, you confirm that you have read, understood and agreed to these Terms & Conditions and any policies referred to within them.

1. Bookings & Payment

A course place is not confirmed until the required payment or agreed deposit has been received and booking confirmation has been issued.

Where a course is purchased using a third-party payment or finance provider, including Klarna, Clearpay, PayPal or PayItMonthly, the student remains responsible for complying with the terms of their agreement with that provider.

Students are responsible for ensuring that all information supplied when booking is complete and accurate.

2. Course Eligibility

Students are responsible for checking any entry requirements or prerequisites stated on the relevant course page before booking.

Where a prerequisite qualification is required, IMAJ Aesthetics Academy may request evidence before training takes place.

Beauty courses are available to students aged 16 and over unless otherwise stated. Aesthetics courses are available to students aged 18 and over and may be subject to additional entry requirements.

Failure to meet clearly stated course prerequisites may prevent participation in the course and result in loss of course fees.

3. Cancellations & Refunds

Course places are reserved specifically for the student and IMAJ Aesthetics Academy begins preparing for training following confirmation of a booking. All course fees are non-refundable. By booking, you agree to this policy. If you cannot attend, please refer to the rescheduling terms for options to amend your course date(s).

4. Rescheduling

Requests to change a confirmed training date are subject to a rescheduling fee.

A £50 rescheduling fee applies where at least 14 working days' notice is provided.

A £100 rescheduling fee applies where less than 14 working days' notice is provided.

Requests made within the final cancellation period before training will result 100% of the loss of course fees paid.

Course places cannot be sold, transferred or assigned to another person.

Failure to attend a confirmed training date without prior agreement will be treated as a non-attendance and result in loss of course fees.

5. Attendance & Lateness

Students are expected to arrive on time and remain for the duration of their scheduled training.

Students arriving more than 15 minutes late will be unable to participate where their late arrival would affect the training schedule, other students, models or the safe delivery of the course.

Where participation cannot reasonably continue due to lateness or non-attendance, this will result in total loss of course fees.

6. Models & Practical Training

Some courses require practical training on live models.

Where IMAJ Aesthetics Academy agrees to assist with sourcing models, any model sourcing fee covers the administrative time involved in advertising, communicating with and arranging potential models.

Payment of a model sourcing fee does not constitute the purchase of a model and does not guarantee that a model will attend.

Models are independent third parties and may cancel, fail to attend, withdraw consent or be found unsuitable for treatment.

Students are still required to attend their scheduled training unless IMAJ Aesthetics Academy confirms otherwise.

7. Training, Assessment & Certification

Students are expected to participate fully in their training and follow the instructions of their educator.

Attendance alone does not automatically guarantee certification. Where applicable, students must satisfactorily complete the required theory, practical training, assessments and/or case studies associated with their course.

Certificates may be withheld until the required course criteria have been completed.

Students remain responsible for ensuring that they hold any qualifications, licences, registrations and insurance required to practise treatments following training.

8. Course Changes

Occasionally, circumstances outside IMAJ Aesthetics Academy's reasonable control may require a change to a trainer, training date, venue or another reasonable aspect of course delivery.

Where a material change is necessary, students will be contacted as soon as reasonably possible and an appropriate solution will be offered.

9. Student Conduct & Safety

Students must behave professionally and follow all hygiene, health and safety and educator instructions during training.

IMAJ Aesthetics Academy reserves the right to stop a student from participating where their behaviour is abusive, disruptive or unsafe, or where it places another student, educator, model or other person at risk.

The supervising educator or practitioner has final responsibility for determining whether a practical treatment can safely proceed.

10. Course Materials & Intellectual Property

Course manuals, training materials, videos, photographs and other educational content supplied by IMAJ Aesthetics Academy are for the student's personal educational use only.

Materials must not be copied, reproduced, shared, uploaded, resold, distributed or used to deliver training to others without prior written permission from IMAJ Aesthetics Academy.

11. Complaints

Any concern should be raised with IMAJ Aesthetics Academy as soon as possible so that we have an opportunity to investigate and resolve the matter.

Formal complaints must be submitted in writing within 7 working days in accordance with our Complaints Policy.

Refund and Cancellation.

At IMAJ Aesthetics Academy, course places are limited and are reserved specifically for each student. Once a booking has been confirmed, preparation and administration relating to the student's training may begin.

Student Cancellations​

If you wish to cancel your course, you must contact IMAJ Aesthetics Academy in writing as soon as possible.

Where a student cancels because they no longer wish to attend, Illness, are unable to attend, have changed their mind or their personal circumstances have changed, all course fees are non-refundable. By booking, you agree to this policy.

Where appropriate, students may instead request to move their booking to another available date in accordance with our rescheduling terms. Rescheduling fees apply.

Deposits

Where a deposit has been taken to secure a course place, the deposit is applied towards the course fee.

All deposits are non-refundable.

​

Non-Attendance

Failure to attend a confirmed course without prior agreement will be treated as a non-attendance.

Students who fail to attend will lose 100% of their course fees.

​

Cancellation by IMAJ Aesthetics Academy

If IMAJ Aesthetics Academy is unable to deliver a course on the confirmed date, we will contact affected students and offer an appropriate alternative arrangement.

​

Payment Plans & Finance Providers

Where payment has been made through Klarna, Clearpay, PayPal, PayItMonthly or another third-party payment provider, any refund due will be processed through the original payment provider and remains subject to the applicable provider's processes.

​

Digital Products

Digital products and online courses are non-refundable. Please refer to our Digital Product Policy for full terms.

Rescheduling Policy.

We understand that circumstances can change. If you are unable to attend your confirmed training date, you may request to reschedule your course subject to the following terms.​

​

14+ Working Days' Notice

Where at least 14 working days' notice is provided, a £50 rescheduling fee will apply.

​

Less Than 14 Working Days' Notice

Where less than 14 working days' notice is provided, a £100 rescheduling fee will apply.

​​

Late Rescheduling Requests

Requests made within the final cancellation period before your scheduled training date will result in loss of 100% of the course fees paid.

​

Non-Attendance

Failure to attend your confirmed training date without prior agreement will be treated as a non-attendance and will result in loss of 100% of the course fees paid.​

​

Course Transfers

Course bookings are made for the named student only.

Course places cannot be sold, transferred or assigned to another person.

​

Rescheduled Bookings

All rescheduling requests must be made directly to IMAJ Aesthetics Academy.

A new training date is subject to course and educator availability and is not confirmed until IMAJ Aesthetics Academy has confirmed the new date and the applicable rescheduling fee has been paid.

Model Policy.

​Some IMAJ Aesthetics Academy courses require students to complete practical training on live models.

Students are encouraged to provide their own suitable models wherever possible. Where a student is unable to provide a model, IMAJ Aesthetics Academy may offer a model sourcing service subject to availability.

​

Model Sourcing Fee

Our model sourcing fee is £15 per model.

This fee is payment for the time and administration involved in attempting to source a model on the student's behalf. This includes advertising model opportunities, responding to enquiries, communicating with potential models and arranging attendance.

You are paying IMAJ Aesthetics Academy to source and arrange a potential model. You are not paying for, purchasing or being guaranteed the attendance of a model.

Once IMAJ Aesthetics Academy has commenced the sourcing process, the £15 model sourcing fee is non-refundable.

​

Model Attendance

Models are independent third parties. IMAJ Aesthetics Academy cannot control or guarantee their attendance.

A model may cancel, fail to attend, arrive late, withdraw their consent or become unsuitable for treatment.

IMAJ Aesthetics Academy accepts no responsibility for a model's decision not to attend, cancellation, lateness, withdrawal of consent or other circumstances outside of our control.

Payment of the model sourcing fee does not transfer responsibility for a model's attendance to IMAJ Aesthetics Academy.

Beauty Courses

If a model cancels, fails to attend or cannot receive the treatment on the day of a beauty training course, the student's course will still proceed.

Students are required to attend their booked training date even where a model is unavailable.

The educator will deliver the scheduled theory, demonstrations and any other elements of the course that can reasonably be completed.

Where the student's practical treatment cannot be completed on the day due to model unavailability, the student will be required to complete the outstanding practical requirement as a case study following their training.

Model unavailability does not entitle the student to:

  • a refund or partial refund of their course fees;

  • a free replacement course;

  • Model sourcing fee refund

  • a free place on another training date;

  • a free additional practical session; or

  • a free masterclass.

​

The original course place has been provided and the educator's time has been allocated for that student's scheduled training date.

If the student would prefer to complete additional supervised practical training rather than completing the outstanding requirement through a case study, they may book a further course, practical session or masterclass where available. This will be chargeable separately.

Aesthetics Courses

Aesthetics training involving injectable procedures requires practical competency to be appropriately supervised and observed.

Where a required aesthetics model cancels, fails to attend or is unsuitable for treatment and the necessary injectable practical assessment cannot be completed, IMAJ Aesthetics Academy will determine the appropriate arrangement for completion of the outstanding supervised practical requirement.

The arrangements applicable to aesthetics training may therefore differ from those applicable to beauty courses.

​

Student-Provided Models

Where a student chooses to provide their own model, the student is responsible for arranging their model and ensuring they understand the date, time, location and treatment for which they are attending.

If a student-provided model cancels, fails to attend, arrives late, withdraws consent or is unsuitable for treatment, this does not cancel the student's course or create an entitlement to a refund.

For beauty courses, the student must still attend and any outstanding practical requirement will be completed by case study as outlined above.

​

Model Suitability

All models must be suitable for the treatment being performed.

The educator or supervising practitioner has the final decision as to whether a treatment can safely and appropriately proceed.

A model may be refused treatment where a contraindication, medical consideration, previous treatment or any other suitability or safety concern is identified.

A model being found unsuitable does not constitute cancellation of the student's course or refunds.

​

Model Consent

All models must complete and sign the relevant Model Consent Form prior to practical treatment.

The Model Consent Form will be included within the student's enrolment information and made available to the student prior to their training date.

It is the student's responsibility to ensure that their own model completes the required consent documentation to receive the treatment without a patch test.

A model retains the right to withdraw consent to treatment.

Student Responsibility

Students are responsible for reading this policy before requesting IMAJ Aesthetics Academy's model sourcing service.

By paying the model sourcing fee, the student confirms that they understand that the fee relates to the sourcing service provided by IMAJ Aesthetics Academy and is not a guarantee of model attendance.

Digital products & Online Courses policy.

This policy applies to all digital products and online courses purchased from IMAJ Aesthetics Academy, including downloadable files, course manuals, learning materials, online training and other content supplied electronically.

Delivery & Access

Digital products and online course materials may be delivered by email, download link, online learning platform or another electronic method following purchase.

Customers are responsible for providing the correct email address and ensuring they are able to access the digital content supplied.

Once digital content or course access has been supplied, the product is considered delivered.

​

Refunds & Cancellations

All digital products and online courses are non-refundable once supplied.

Where digital content is supplied following purchase, a refund will not be provided because the customer:

  • has not opened or downloaded the content;

  • has not accessed the course;

  • has not started the course;

  • has changed their mind;

  • no longer has time to complete the course; or

  • does not complete the course within the permitted timeframe.

Where applicable, customers will be asked to acknowledge at checkout that digital content will be supplied and that their right to cancel will be lost once supply of the digital content begins.

​

Course Access & Completion Period

Where an online course has a specified access or completion period, this will be stated within the course information.

The Level 3 Award in Education and Training (AET) currently provides students with up to 12 months from purchase to complete the course.

It is the student's responsibility to complete all required learning, coursework, assessments and other requirements within the permitted timeframe.

Failure to complete a course within the specified period does not entitle the student to a refund.

​

Certification

Purchasing or accessing an online course does not automatically guarantee certification.

Students must satisfactorily complete all required coursework, assessments, case studies and/or other course requirements before certification can be issued.

Certificates may be withheld until all required elements have been satisfactorily completed.

​

Personal Use & Intellectual Property

All digital products, course materials, manuals, videos, documents and learning resources supplied by IMAJ Aesthetics Academy are for the registered student's personal educational use only.

Login details and course access must not be shared with another person.

Course content must not be copied, reproduced, recorded, shared, uploaded, distributed, resold, commercially exploited or used to provide training to others without prior written permission from IMAJ Aesthetics Academy.

​

Technical Issues

If a genuine technical issue prevents access to purchased digital content, the student should contact IMAJ Aesthetics Academy so that the issue can be investigated.

Where reasonably possible, access will be restored or the relevant digital content will be supplied again.

A technical issue that can reasonably be resolved does not entitle the student to a refund.

Complaints Policy.

IMAJ Aesthetics Academy is committed to providing a professional standard of training and student support. If you have a concern regarding your course or experience with us, we ask that you raise it as soon as possible so that we have the opportunity to investigate and respond appropriately.

​

Making a Complaint

All formal complaints must be submitted in writing within 7 working days of the issue arising or the relevant training date.

Complaints should clearly include:

  • the student's full name;

  • the course and training date;

  • details of the concern or complaint;

  • any relevant supporting information or evidence; and

  • the resolution being requested.

Complaints made verbally, through social media comments or messages, or through third parties will not be treated as a formal complaint. Students will be asked to submit their complaint in writing through the appropriate contact method.

​

Investigation

Once a formal complaint has been received, IMAJ Aesthetics Academy will review the information provided and, where necessary, speak with the relevant educator, practitioner or other person involved.

Students may be asked to provide additional information where this is reasonably required to investigate the complaint.

We aim to respond to formal complaints within 10 working days. Where further investigation is required, the student will be informed.

Course Fees & Complaints

Submitting a complaint does not automatically create an entitlement to a refund, repeat course, additional practical training or compensation.

Any request relating to refunds, cancellations, rescheduling, models or additional training will be considered in accordance with the relevant IMAJ Aesthetics Academy policy.

​

Outcome

Following investigation, IMAJ Aesthetics Academy will provide the student with the outcome of their complaint and, where appropriate, details of any action or resolution being offered.

The outcome of a complaint will be based on the information and evidence available and the applicable IMAJ Aesthetics Academy terms and policies.
